Tonya Chaplin Coaching LLC ("Company," "we," "us," or "our") respects your privacy. This Privacy Policy explains what information we collect through our website, www.tonyachaplincoaching.com (the "Site"), and through our coaching services, how we use and protect it, and the choices you have. It should be read together with our Terms of Service.
1. Information We Collect
We collect the following categories of information:
Contact & identifying information: name, email address, mailing address, and phone number, provided when you fill out a form on the Site, book a session, sign up for our newsletter, or opt in to text messages.
Mobile phone number (SMS opt-in): if you opt in to our SMS/text messaging program through a web form, we collect and store your mobile phone number and your consent record for that program.
Coaching engagement information: information you share with us in connection with scheduling, intake, and coaching sessions, collected and stored through our CRM platform, HoneyBook.
Payment information: payment and billing details are collected directly by HoneyBook through a secure payment link. Company does not directly collect or store your credit card or banking information.
Session recordings: if a coaching call is recorded via Zoom, that recording (audio/video and any associated notes) is stored in connection with your coaching engagement, as described in our Terms of Service.
Website usage information: standard technical information (such as browser type and general usage patterns) that our website hosting platform may collect automatically. We do not use this information to identify you individually.
We do not knowingly collect health information, government ID numbers, or social media account credentials through the Site.
2. How We Use Your Information
We use the information we collect to:
-Provide, schedule, and manage coaching services
-Process payments through HoneyBook
-Send appointment reminders, service updates, and administrative communications
S-end email marketing and promotional communications (via Squarespace Email Campaigns), where you have provided your email
-Send SMS/text messages, where you have opted in (see Section 3 below)
-Maintain records of our coaching relationship
-Comply with legal, accounting, or regulatory requirements
We do not use your information for automated decision-making that produces legal or similarly significant effects.
3. SMS/Text Messaging Data
If you opt in to our SMS/text messaging program through a web form on the Site, we collect your mobile phone number and your consent to receive messages related to appointment reminders, coaching updates, and promotions.
No sharing of mobile information for third-party marketing. Mobile opt-in data and phone numbers collected through our SMS program are not shared or sold to third parties or affiliates for their own marketing or promotional purposes. We may share this information with service providers who help us operate the SMS program itself (for example, our texting or CRM platform), and these providers are bound to use it only to deliver our messages, and with third parties when required by law.
Opt-out. You may opt out of SMS messages at any time by replying STOP to any message. Reply HELP for assistance, or contact us using the information in Section 10.
Retention. We retain SMS opt-in records and mobile numbers for as long as needed to operate the program, honor opt-outs, and meet our record-keeping obligations, as described in Section 6 below.
4. How We Share Your Information
We do not sell your personal information. We share information only with the following categories of service providers, each of whom is bound by their own privacy and security practices:
- HoneyBook - CRM, scheduling, client records, payment processing
- Zoom - Coaching call hosting and recording
- Squarespace -Email CampaignsEmail newsletter and marketing communications
- SMS/texting platform - Delivery of text messages to opted-in numbers
We may also disclose information if required to do so by law, subpoena, or other legal process, or to protect the rights, property, or safety of Company, our clients, or others.
5. Cookies & Website Technology
Our Site may use standard cookies or similar technologies provided by our website platform to support basic site functionality and analytics. We do not use this data to build individual marketing profiles beyond what is described in this Policy.
6. Data Retention
We retain client and lead information for as long as needed to provide our services, maintain business records, and meet legal or tax obligations. When a client relationship becomes inactive, records are archived within HoneyBook rather than actively used, but are not automatically deleted. You may request deletion of your information as described in Section 7 below, subject to any records we are required to retain by law.
7. Your Choices & Rights
You may:
-Unsubscribe from SMS messages at any time by replying STOP
-Unsubscribe from email marketing using the link in any marketing email
R-equest access to, correction of, or deletion of your personal information, by contacting us using the information in Section 10
-Withdraw consent to recorded coaching sessions by notifying us in advance, as described in our Terms of Service
Depending on your state of residence, you may have additional rights under applicable state privacy laws (for example, California). We will respond to verified requests consistent with applicable law.
9. Children's Privacy
Our Site and services are not directed to individuals under the age of 18, and we do not knowingly collect personal information from children.
